Privacy Policy

This policy explains how Systemized Media LLC ("Systemized Media," "we," "us") handles information through our website, systemizedmedia.com, and through SIISTM (Systemized Integrated Intelligence Schemata for Targeted Marketing), the internal reporting tool we use to manage marketing for our clients.

Who we are

Systemized Media LLC is a marketing agency for home service businesses. We run advertising campaigns for our clients and report on how those campaigns perform.

SIISTM

SIISTM is a private tool used only by Systemized Media staff. It is not available to the public. Only people with a Systemized Media company account can sign in, and clients do not sign in to it.

We use it to bring each client's advertising and lead data into one place so our team can report results, spot problems early, and manage campaigns.

Information it collects

With each client's permission, SIISTM reads data from the advertising and customer accounts that client has connected to us:

  • Google Ads: campaign, ad group, and ad performance, including spend, impressions, clicks, and conversions, plus the locations a campaign targets.
  • Meta and TikTok ads: campaign performance and lead form submissions.
  • The client's CRM: leads and appointments, which can include a customer's name, phone number, email address, and service address. We keep these contact details so we can match each lead to the ad that produced it.

SIISTM only reads this data. It does not create, edit, or delete anything in a client's Google Ads account or other connected accounts.

How we use it

We use this information only to deliver our services to the client it belongs to. That includes reporting campaign results, matching leads to the ads that produced them, and deciding how to adjust that client's campaigns.

We do not sell this information. We do not use it to advertise to anyone, and we do not use one client's data to benefit another client.

Google user data

Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.

In practice, that means:

  • We use Google Ads data only to provide reporting and campaign management to the client whose account it came from.
  • We do not transfer Google Ads data to others, except when needed to provide that service, to comply with the law, or as part of a merger or acquisition with the same protections in place.
  • We do not use Google Ads data for advertising, and we do not sell it.
  • We do not use Google Ads data to train artificial intelligence or machine learning models.
  • No person at Systemized Media reads a client's Google Ads data except to provide our service to that client, to investigate a security issue, or to comply with the law.

AI tools

We use AI tools to help analyze a client's results and prepare reports for that client. We only share a client's data with these tools to provide our service to that same client, and only on business plans:

  • Claude, by Anthropic (Team plan). Anthropic does not use data from business plans to train its models.
  • ChatGPT, by OpenAI (Team plan). OpenAI does not use data from business plans to train its models.
  • HighLevel AI Agent Studio (Business plan). This AI assistant works inside the CRM we provide to clients and replies to a client's leads on that client's behalf.

Where it is stored and who can see it

Information in SIISTM is stored in Google Cloud, in the United States. It is encrypted in transit and at rest.

Staff sign in with their Systemized Media Google Workspace accounts, and each staff member can only see the clients they are assigned to.

How long we keep it

We keep a client's information while we work with that client. When a client ends their contract, our access to their accounts ends and SIISTM stops reading new data from them. We delete that client's stored information, including any customer contact details, within 90 days after the contract ends.

A client can ask us to delete their information sooner by emailing hannah@systemizedmedia.com. We will confirm once it has been deleted.

Disconnecting access

A client can remove our access to their Google Ads account at any time from the account's access settings in Google Ads. When access is removed, SIISTM can no longer read new data from that account.

Our website

When you contact us or book a demo through systemizedmedia.com, we collect the information you choose to send us, such as your name, email address, phone number, and business name. We use it to reply to you and to talk with you about our services.

Our website uses Google Analytics, the Meta Pixel, the TikTok Pixel, and the LinkedIn Insight Tag. These tools record how visitors use the site, such as pages viewed, and help us measure and show our own ads. You can limit this tracking through your browser's privacy settings or the ad settings on each platform.

We do not sell information collected through our website.

Sharing with service providers

We use a small number of service providers to run our business. They process information only on our behalf and only to provide their service to us:

  • Google Cloud: hosts SIISTM.
  • HighLevel: the CRM we provide to clients, which stores their leads and appointments.
  • Make.com: moves appointment and lead updates between our tools.
  • Slack: internal team notifications about appointments and client work.
  • Monday.com: client project management.
  • Docusign: client agreements.

Changes to this policy

If we change how we handle information, we will update this page and the effective date at the top.
